Now that you are familiar with the Intelligence platform and your reporting settings, it is time to start working with your reports. This guide walks you through everything you need to know to find, organize, and run reports in Intelligence.

Getting Organized

Before diving into running reports, taking a few minutes to set up a folder structure will save you time and frustration as your report library grows.

Tip from the Pros

We always suggest keeping your company folders well-organized. Here are two folders we recommend creating right from the start:

  • Archive folder — Any time a new version of a report is created, move the old version to your Archive folder. Nothing is more confusing than sifting through different versions to find the one you want. An archive folder keeps things tidy and ensures old versions are still accessible if you ever need to refer back to them.
  • Scheduled Reports folder — Did you know that when someone leaves the company and their profile is terminated, their scheduled reports can fail? This is often discovered only after that person has left, when no one receives their reports the following month. Keeping all scheduled reports in one dedicated folder makes it easy to find and update the schedule owner if any changes are needed.

Running Reports

There are several ways to run reports in Intelligence. You can run a report directly and view the results immediately or run it in the background — ideal for larger reports, testing, scheduling, or generating multiple outputs without waiting.

Tip: The data you see when you run a report depends on your reporting role. If you are assigned the BI Manager role, you will only see data for employees who report directly to you rather than the full organization. If you expect to see more data than you are seeing, check with your SAP Concur administrator to confirm your role assignment.


Create a Report View

A Report View lets you create a personal copy of an existing report with your own saved filter settings without changing the underlying report for others. This is the recommended way to personalize standard reports in Intelligence.
