How Do I Update the Mileage Rate in SAP Concur?

To update a car configuration with a new mileage rate, please follow the steps below. This action can be completed only by Expense Administrators, not by end-users.

 

Professional Configuration:

 

  1. Go to Administration Expense Expense Admin.
  2. Select Car Configuration.
  3. Locate the Car Configuration that needs to be modified.
  4. Click Modify.
  5. Click Rates.
  6. Click New.
  7. In the Effective Date field, enter the date on which the new mileage rate will take effect.
  8. In the Rate field, enter the new mileage rate.
  9. Click Save.
  10. Click Done.

 

Standard/Best Practice Configuration:

 

  1. Go to Administration Expense Settings > Mileage.
  2. Choose the respective country.
  3. Click the Personal Company Car Rates tab.
  4. To view previous rates, check Show historic values.
  5. Click New.
  6. In the Effective Date field, enter the date on which the new mileage rate will take effect.
  7. In the Rate field, enter the new mileage rate.
  8. Click Save.
  9. Click Done.

Additional Notes:

  • The End Date will automatically populate when a new car mileage is entered. 
  • If the wrong mileage rate has been entered, click the Rate field within the associated effective date and update the mileage rate. The system does not allow for mileage rates to be removed or deleted.
  • If the rate is entered with 3 decimals the system will round up the value.  Example 0.575 will round up to 0.58.
  • Do not update the rate in the Rate box as this could impact your historical data. Always create a new rate when you need to update the rates.
