Hotel booking prepayment

For hotel bookings via Concur Travel, I understand that some bookings are not prepaid for and travelers need to make payment at the hotel. Is there is a way to identify which hotels/rooms have prepayment? We generally would prefer if hotels are prepaid for and our employees also gave the feedback that they are unable to tell if the hotel has already been paid for at point of booking.

Or am I correct to understand that if the Total Due Now on the booking page is $0 - there is no prepayment?

@elsh99 these two rules are a bit redundant. I would suggest changing the Air Fare is greater than rule to Notify Manager instead of Require Approval.

@elsh99 hotels during the booking process should show Prepayment or Deposit required. If it says $0 due now, then that should mean no prepayment or deposit. 

 

I should say that many of our customers do not allow prepayment or deposits due to the fact that cancelations may still cost money. Many hotels will charge a cancelation fee since the room was not available during the time it was reserved.

I'm not sure why I'm unable to send you a PM but regarding the rule settings, is this the correct configuration if we want everything booked in Concur Travel to require approval and also for employees and approvers to be alerted of policy violations such as the airfare greater than the least cost logical rule? Or will there be any conflict/issue if both rules are turned on?
Travel Itinerary
  • All trips - Require Approval
Flight
  • Air Fare is greater than the least cost logical airfare plus 350 dollars - Require Approval
