User Supplied Hotels

Has anyone enabled the User Supplied Hotel option to add hotel info when booked outside of Concur.  Would be interested to know how it's working for you.   Pros and Cons for doing so.

Hi  @Lisa2025

Topic: User Supplied Hotels

Please see the below. Hope this helps.

SAP Concur Travel – User Supplied Hotels

The User Supplied Hotel feature is useful when travelers book accommodations directly with hotels, through conference organizers or outside the company's approved booking channel.

Enable the option if your organization frequently permits hotel bookings outside Concur.

User-Supplied hotel information is not equivalent to a Hotel Booking made through Concur.

It does not automatically provide negotiated-rate validation, Agency Servicing or complete Duty-of-Care Coverage.

Check the SAP Concur Controls:

  1. Mandatory information: Hotel name, address, check-in/check-out dates, and confirmation number.
  2. Travel Policy: Define when employees are permitted to book outside Concur.
  3. Approval: Determine whether external hotel bookings require additional approval.
  4. Expense Reconciliation: Establish procedures to match hotel expenses against external booking details.
  5. Testing: Validate itinerary display, mobile visibility, reporting, and duty-of-care integration.

Test: Test a directly booked Hotel, a Conference Hotel, a Modified Reservation and a Canceled Reservation.

Confirm whether changes made outside Concur are reflected in the itinerary or require manual maintenance.

Enable User Supplied Hotels when external hotel bookings are common.

User Supplied Hotels supports itinerary documentation, not full reservation management.

Actual Behavior, Available Fields and Administrative Controls depend on your Concur Travel Configuration and Booking experience.

Thanks & Regards
