Processor Query

How do we communicate/notify to the user on a query of an open claim without sending back the claim. As currently we can notify the user only through send back option for missing documents. And if we send back the claim, it takes again time for manager to approve and come back to the processor.

So is there any option to notify the user, without sending back the claim.

At present, there is no option to notify the user when the report is in the processing stage without sending the report back to them.

 

However, the following workaround I can think of:

  • Enable the payment-hold configuration to flag reports that are missing required receipts and place them on hold.
  • Set up an email reminder with the condition Payment Status = Holding Payment, so a notification is triggered when this condition is met. Note that the reminder will only be sent only once per report when the email reminder job runs.
  • After the user provides the missing receipt to the processing team, the processor can recall the report from processor screen, attach the receipt, update the Receipt Received status to Yes on the report header, and approve the report from the processor screen. Once approved, the report will continue through the processing workflow.

 

Note: If you choose to use this workaround, I recommend testing it first with 1–2 test users. If it performs as expected, you can then consider enabling it for all users.

@Monica24 there is also an option in the workflow to skip an approver if they have already approved the report. This allows for a processor to send a report back, but not have the report go back through the entire workflow.
