Hello, Everyone.

Can anyone please advise how can I verify if our negotiated rate with the account Vanguard located in Malvern, PA? If our hotel is visible from their booking tool?

@UMPBO9 I went into the Vanguard site and I did see Holiday Inn, but it said the rate was only good until December 31, 2020.

As for your hotel appearing in their booking tool, it should appear regardless of having a negotiated rate.

From what I see, there isn't an active negotiated rate for Vanguard for your hotel.

Have you tried reaching out to Vanguard about this?

Hi, Kevin. I appreciate you looking into this. Can you share the URL where our hotel Holiday Inn Express Frazer-Malvern is listed? We recently took over this hotel and would like to update our records with Vanguard. However we are having a challenge as to whom we can coordinate with Vanguard. We have been trying for almost 2 years.

@UMPBO9 what I can tell you is that this hotel does appear in hotel searches within Concur Travel. I know because I just did a search. See below. As for working with Vanguard, that is out of my purview. SAP Concur isn't involved in the process of hotels working with companies regarding negotiated rates.

I don't know who at Vanguard you would speak with. If it were me, I would contact them and ask them to provide the name(s) of who is in charge of their Travel and Expense program. Two years seems is a long time. Are they simply not replying to you or are they giving you the run around?

Per KevinD's response, I am providing few more details. Hope it helps.

To verify whether your hotel's negotiated rate with Vanguard in Malvern, PA is visible in SAP Concur Travel, follow these steps:

Contact Vanguard's Travel Manager or Travel Management Company (TMC) to confirm that your hotel's negotiated rate has been loaded into their booking system.
Verify the rate loading in the applicable GDS (Sabre, Amadeus, or Travelport), including the negotiated rate code, hotel property ID, and Vanguard's corporate rate access code.
Request a test booking search through Vanguard's SAP Concur Travel account using the appropriate traveler profile and corporate rate eligibility.
Confirm visibility: Check that your hotel appears in the search results and that the negotiated rate is displayed and bookable.
If the rate is missing, ask the TMC and your hotel's distribution or revenue management team to investigate rate loading, access codes, availability, and Concur display settings.

Important: A negotiated rate being loaded in the GDS does not automatically guarantee its visibility in SAP Concur Travel.

Recommendation: The most reliable verification is a test search performed by Vanguard's Travel Manager or authorized TMC using Vanguard's actual Concur Travel configuration.

Would you be able to share us the contact person for Vanguard's TMC? or Travel Manager? It really is a challenge for us since we are still unable to connect with who handles their travels, it's been years since we are trying to penetrate the company.
