Limiting No. of Passengers on a Flight

We have a policy where we limit the number of passengers in a flight. That is, no more than twenty-five (25) XYZ employees shall travel together without written consent of the CEO. Do you have similar policy? How do you enforce it?

Hi,

Try using the "More than [NumPassengers] passengers on a flight" rule under the flight category in Travel rule builder. When you enable this rule in the rule class combine it with the appropriate action, ex- Require approval or show but do not allow.  Then add the message - require written consent of the CEO if more than xyz employees. This should trigger the rule during the booking process if more than X number of employees travel together in the same flight.

Hi,

For duty of care is there a way to assign this per rule class/division/org unit so we can apply a set number of people for Executives vs General Travelers?

@Jae2023 travel rules can be applied or assigned by Travel Rule class.

We have a rule in Travel Policy Administration - Flight rule:

Flight (FlightEdit)
  • More than 15 passengers on a flight (hides traveler personal information) - Show, but Do Not Allow

the message that we show if someone sees this flight:

This flight already has the maximum number of Expeditors employees allowed. Please select alternative flight or day of travel.
