Booking accomodation | Conference offers discount, but not available through Concur

Hello!

I work at The University of Western Australia, and this July I'll be attending a conference which is offering discounts on accomodation (conferences official website). However, those discounts are not met when trying to book the same bedrooms at the same hotel to Concur.

How should I proceed to make sure to get the discount? I apologize if there's an obvious way -- this is my first time using concur.

@caminhathiago my recommendation is to contact the hotel directly to make the accommodation booking. Since this is a special discount offered for the conference, the discounted rates likely won't be published rates that would appear in Concur Travel.

Hi Kevin,

Does Concur plan to include a feature at some point that will allow for the loading of negotiated lodging rates that Concur customers can custom load for their employees that will be attending a conference and want to book the conference rate in Concur instead of booking outside of the OBT environment?

This is possible for contract rates that are negotiated by your university with the hotel. But for what you are referring to, a contract rate negotiated by a conference with a hotel, this would not be loaded for your university. You could contact your travel agency to have a human book it for you using the instructions provided by the conference.

The University probably has a policy to always book travel via their travel agency (which Concur is linked to). So the best way to proceed would be to contact the travel agency for them to book the hotel reservation for you via the conference's official website in order to get that rate. Surely, the travel agency has a special email address that travelers from your university use to contact them. Email them the link and dates you want to book.
