Daily Meal limits

Hello,

I am wondering how to set up Daily Meal Limits ($100). Specifically, we have department meals (can have more than one attendee),  dining and entertainment: employee meals (attendees are different departments, within the company), and dining and entertainment (attendees include at least one outside of the company). We want the limit based on how many were attending. (ex: department meal costs $300 but 5 people ate = actual cost per person $60) Would the purchaser, out of $100, have $40 left for the day? How does that work? Also, we may implement that VP's and Directors of departments have more headroom than others. So, there's that daily limit as well. Any suggestions?

@dbarker Audit Rules would be your best bet to accomplish meal limits. You will need to consider individual meals and then the group meal expenses. 

 

You wouldn't want an Entertainment expense type to be included in the Daily Meal limit you set up for individuals. Many companies do not count the per attendee cost of an entertainment expense against the individual's daily limit since an entertainment/group meal likely has a different GL Code. Plus, I'm not sure you can build an audit rule that looks at the employee's portion of a group meal and add it to any individual meal amounts to give a daily total. Attendee

You can create an audit rule that looks at the per attendee limit to make sure the employee doesn't spend over a certain amount per attendee.

 

In looking at your profile, you show as SMB or small business which likely means you are on our Standard edition of SAP Concur. If that is the case, you won't be able to create these audit rules unless you have Custom Audit Rules activated. However, there are the Daily Limits and the cost per attendee options found in the Compliance Controls-Compliance rules and Compliance Controls - Expense Limits screens.
