Integration between HRMS and Concur

How we can connect HRMS application Peoplesoft to Concur so that automation can be done to update user profile, approver details, creation and deletion of user profiles in Concur. Currently I do all these tasks manually using 305 file upload.

@scorpio4662 my suggestion would be to speak with your assigned SAP Concur Customer Success Manager about our Web Services, which would include integrations. 

Also, I would recommend participating in our Ask Me Anything "event" we are holding on September 23 where we will have a group of SAP Concur Integration experts answering any questions you might have. If you use the Resources option on the navigation bar near the top of the screen, select Admin Resources. From there, click Events Hub. You should see the Ask Me Anything listed there at the top. Click the title of the Ask Me Anything to see the details, RSVP and add to your calendar.

Hi Kevin, 

It was decided that integration between Concur and People soft will be based on SFTP. First data will come to SFTP folder from People soft, later from SFTP to Concur using middleware or API. Could you please suggest how I can see that which API is available in Concur to get the data from SFTP folder.

Hi there. As Kevin mentioned, there are APIs you can use for near-real-time data updates of employee data, or you can continue with file-based bulk transfers. Let me clarify how SFTP fits into this picture, as it's an important distinction.

SFTP is a file transfer protocol — think of it as a secure, automated file drop-box between two systems. It moves files from point A to point B; it does not process data or expose query endpoints. So there isn't an API to "read from an SFTP folder" — SFTP is purely the transport layer.

Based on your description, your middleware can drop a properly formatted employee import file on Concurs SFTP server, and Concur will processes it on a scheduled basis. No API integration required on the Concur side.

When you are ready to connect your middleware, you would provide a new SSH key via a case with Concur Services to allow your middleware to access the same id/folders that exist today.

You can automate PeopleSoft HRMS → SAP Concur integration using either:

Option 1: Automated 305 Employee Import via SFTP

• Extract new hires, employee changes, manager details, and terminations from PeopleSoft.
• Transform the data into SAP Concur's Employee Import format.
• Schedule secure, encrypted SFTP transfers to Concur.
• Monitor import results and errors.

Option 2: SAP Concur User Provisioning Service (UPS) v4 API

• Automate employee creation, profile updates, and deactivation.
• Update supported roles and approver information.
• Integrate PeopleSoft through middleware such as SAP Integration Suite (CPI) or another integration platform.
• Implement validation, error handling, and reconciliation.

Important: Approver setup may require additional import record types or configuration. Confirm which fields and workflows are supported by your Concur edition.

My recommendation: Since you already use the 305 import, start by automating the existing file through SFTP. Consider UPS v4 APIs if you need more frequent updates or API-based provisioning.

Best practice: Use PeopleSoft as the employee system of record and deactivate terminated users rather than simply deleting their profiles.
