Incorrectly totaling hotel amounts

Hello -

I have a situation where the hotel double charged for the first evening and also over charged for the second night. The hotel then refunded these, but the Reimbursable Allowances Summary is showing an 'Above Limit' amount.

1st Charge:   9/29      Total:  $431.20

  • Itemized: 9/28   $166 for hotel     $19.92 for taxes  = 185.92
  • Itemized 9/29    $219 for hotel     $26.28 for taxes = $245.28

2nd Charge:  9/30     Total: $185.92

  • Itemized: 9/28   $166 for hotel     $19.92 for taxes  = 185.92

3rd Charge: 9/30     Total: -$185.92

  • Itemized: 9/28     -$166.00 for hotel     -$19.92 for taxes

4th Charge: 9/29     Total: -59.36

  • Itemized 9/29     -$43.00 for hotel          -$16.36 for taxes

Has anyone else had this happen?  If so, what did you do to make it balance correctly?

Hi @VKBerry

Topic: Incorrectly totaling hotel amounts

Please check the below. Hope this helps.

-----

Concur may be evaluating the original hotel charges against the nightly lodging limits without fully offsetting

the separate refund transactions.

Net amounts based on the figures provided:

  • 9/28: $166 lodging + $19.92 tax = $185.92
  • 9/29: $176 lodging + $9.92 tax = $185.92
  • Total: $371.84

Note: The $59.36 refund includes $16.36 in tax, so the corrected tax amount should also be verified against the hotel folio.

Verify the nightly itemizations, refund expense types, and lodging allowance limits.

If the Above Limit amount persists, ask your Concur Administrator to review how refunds are applied

in the Travel Allowance calculation.

Thanks & Regards
