Hotel expense showing “Cash” instead of Company Card

Hi team — I’m submitting an expense report and my hotel expense is showing Payment Type = Cash, but it was charged to my company card. How do I update it to reflect Company Card so I can submit? Thanks.

Hi @ardu22

Topic: How to Handle a Duplicate Hotel Charge and Refund in Concur

Please check the below. Hope this helps.

-----

The hotel expense was entered manually or the corporate card transaction has not been imported or matched.

Action:

  1. Check Available Expenses: Navigate to Expense → Available Expenses and search for the hotel transaction.
  2. Check whether the hotel corporate card transaction has been imported.
  3. If the card transaction exists, then add it to the expense report and complete the required hotel itemization.
  4. If a manual expense already exists, remove the duplicate manual entry
  5. Check whether it is still pending with the card issuer or awaiting import into Concur.
  6. Payment Type may be locked for imported card transactions. Do not manually change Cash to Company Card unless your company's configuration permits.
  7. Use the actual imported company card transaction rather than manually changing the payment type. The manual change does not create or reconcile a missing corporate card transaction.
  8. Contact the Concur Administrator: Request verification of the corporate card feed, card assignment, and transaction import status.

Consider:

  • Cash generally represents an out-of-pocket expense.
  • Company Card identifies a transaction paid using the corporate card.
  • Payment Type availability and editability depend on company configuration.

Thanks & Regards
