Hotel Itemization: Auto Copy Comment from Parent Entry into Itemizations

Good day,

I just finished testing the new Hotel Transaction Days Copy Down Change that was in our last Release Notes.

QQ - Would it be possible to update so that any Comment in the Parent Entry is automatically copied into the Child Entries?

We require a Comment if Miscellaneous expense type is used as well as if the expense is Out of Pocket and the submitter is corporate card holder.

This alteration would allow these entries to require less repetitive typing, or copy & paste.

@myallaly this is possible, but you would need Concur Support to make this change for you as it requires full site access, which requires that someone at your company completed the Advanced Configuration training.

 

However, I would like to propose an alternative. You could just use the mass edit option on the itemizations. Give this a try...go into the itemizations of a hotel expense. Each itemization has a little checkbox next to it. You will also notice the same checkbox at the top of the itemizations list that allows you to select all. Select all the itemizations then use the Edit option. This allows you to enter a comment which will then populate into the Comment field of all the itemizations. You can also do this by choosing select itemizations (it doesn't have to be all of them). That way users can select only the Miscellaneous itemizations and enter a comment. That way you don't have the comment appearing in all the non-Miscellaneous entries or those where a comment isn't required. 

 

Just thought I would throw this out as an option. It would also alleviate people going in and deleting all the comments for non-Miscellaneous and Cash.

Thank you Kevin. You are correct that the "multi-Edit" would work. Maybe I will let it ride for now and see what pain points come up before deciding on an option. I still prefer an auto-fill over the multiple clicks of the multi-Edit but it may be best to wait and see what will work best for the end user.
