ETA for card transcations

Hi,

Why does it take so long for card transactions to appear in Concur? I'm out the door Monday morning  and not home until Friday evening each week, and I do not want to spend my weekend and time off doing expense reports. And also; how do I delete a card transaction in Concur? The alternative is to just mark it as "Cash" and submit the receipt as this is more than sufficient as documentation to get the expense report approved. I do not want to spend time creating a mock travel expense report just to get rid of a card transaction that has already been submitted as "Cash", it takes up time I rather spend on something productive, and therefore it would be much easier to just delete transactions coming in a week after the trip was concluded and I'm in the middle of a new trip busy dealing with challenges at a new customer/site.

Best regards,

Vegard

Hi @Vegard

Topic: ETA for card transactions

Please see the below. Hope this helps.

Corporate Card Transactions takes few business days to appear in SAP Concur because they pass through

multiple Processing Stages:

  1. Merchant Settlement: The merchant must finalize the transaction.
  2. Bank Processing: The card issuer posts the transaction to the account.
  3. Card Feed Transmission: The bank sends transaction data to SAP Concur according to its configured schedule.
  4. Concur Import Processing: Concur processes the incoming data and associates transactions with employee card accounts.
  5. Weekends/Holidays: Non-business days may extend processing times.

ETA: Approximately 2–5 business days, although actual timing depends on the Card Issuer, Settlement Process and Integration Schedule.

Regarding deleting Card Transactions in Concur:

  1. Do not delete the legitimate Corporate Card transactions by submitting them as Cash.
  2. Ask your Concur Administrator about an approved process for handling late-arriving card transactions without creating unnecessary expense reports.
  3. In SAP Concur Expense, employees generally cannot delete imported corporate card transactions, as these must be retained for reconciliation and audit purposes.

Thanks & Regards
