Adding Allocations

Good morning!

 

For our allocations, Concur has us input our allocations as:

 

Project/Work Order > Project No./Work Order No. > Activity No./ Task No. 

 

Is there any way we can input only the Activity No./Task No. so that it then generates the preceding information? We are often given just the Activity No./Task No. and then must switch applications (IFS) to look up the Project No./Work Order No. for every allocation. Being that this information is already tied together, I was hoping to simply reverse the "tree" to match our current administrative processes.

Hmm, interesting question, AND we are also on IFS with a project tree (4 levels 😐). I think it would depend on how your project tree is built.  Our tree is Project type> Project name/ID > Sub-Project > Activity and each one limits or filters the data to the next level. Is that how your's works? If your project tree can be set up to "look backwards", at least from the flow you show, then Concur should be able to assist you with that.  OR do you just have to "pick" each field and each one looks at the entire set of data?

Hi DLamont!

 

Yes, that is how our "tree" works! Choosing whether it is Project/Work Order then allows you to input the Project No./Work Order No., etc. 

 

As you must know, all expenses are assigned to the Work Task # and so that's always the only piece of information we use. Because our tree is organized like this, we basically have to have IFS open and do a Work Order # search based on the Task # if it isn't a favorite or readily referenceable on a cheat sheet. It seems to me that if we can just reverse the tree, it would be much, much easier since Task #s are only assigned to only one Work Order #...

 

I asked my co-workers about this and it was expressed that they were told this was not possible. However, this was some time ago so maybe it might be now!

Hi KevinD! Sure thing. The allocation "tree" is accessed when editing the details of an expense via Allocate which then opens a screen to + Add (Add new allocation):
