Active Employee Not Populating as an Attendee

We have one employee who is not populating as an Attendee for Team Meals. All others on her team populate. I've looked at her profile. Everything matches identical to her respective teammates.

 

We do have a nightly WorkDay feed. Where might the disconnect be?

Hi @jstrong123 ,

 

Please verify whether the employee has the Expense User role in SAP Concur. If not, kindly assign the required role and save the profile, as this could be one of the reasons for the issue.

 

Also, can you try to search attendee using Advanced Search feature. This allows users to search for attendees, but it does not specifically include a filter labeled "My Team." To find attendees related to your team, you can utilize the Attendee Type selection within the Advanced Search.

 

Steps to Use Advanced Search:
1. Click on the Advanced Search button.
2. Select the appropriate Attendee Type that corresponds to your team members.
3. Enter any additional search criteria if needed.
4. Click Search to view the results.

If you are looking for specific team members, ensure that you have the correct attendee type selected to narrow down your search effectively.

Thanks for the response back.

Already did both of these things. I've searched every which way... First Name, Last Name, Email Address and by each Attendee Type. Another user cannot add the employee either.

Can you check whether below setting is enable for your site? If not then can you please enable it and check whether it resolves your issue.

These steps are bit confusing to understand, hence giving you step by step actions to perform this config and testing.

 

Lets assume:

  • Attendee 1 - who is trying to add Attendee 2 in their expense report
  • Attendee 2 - Not searchable in attendee list

1. Enable automatic attendee creation

  • Go to: Administration → Expense → Expense Admin → Attendees → Settings
  • Check: “Allow automatic creation of employees as attendees (SYSEMP attendee type)
  • Click Save

Requires Expense Configuration Administrator (Restricted) role. If you don’t have it, contact Concur Support.

2. Trigger attendee creation for existing users

For employees who haven’t yet appeared: Attendee 2

  • Ask them to open a new expense form oncethe system will automatically create their attendee record. (in their own profile)
  • Or perform a “This employee” search in the Attendee section of a new expense or in their profile. (optional)
  • Or perform a quick search / favorite search from the Attendee section. (optional)

Once any of these actions are done, the External ID field is populated with their Employee ID and they become searchable.

 

3. Verify (in other employee profile who was unable to search above attendee ) Attendee 1

  • Go to New Expense → Attendee section → Advanced Search → Employee (SYSEMP) type
  • Confirm whether employees now appear

 

Conclusion - All active employees become searchable as SYSEMP attendees, and future employees are automatically created when they first interact with Concur.

 

Note - I haven’t personally experienced this issue, and while I’ve simplified the steps using my understanding and the support article, I haven’t been able to test the solution since I don’t have any users missing from the attendee list.
