AI-assisted pre-submit receipt check

Has anyone used this feature?  I am eager to know how well it works and it it cuts back on the approver having the review each receipt and check it against the expense.  I want to ensure that employees are properly submitting the correct information based off the receipt such as Vendor name, Transaction Date, and amount.

Hi @kkozak

Topic: AI-assisted pre-submit receipt check

Please check the below. Hope this helps.
——-
the AI receipt check can flag
missing information, potential duplicates, and vendor or amount mismatches before submission. It may reduce approver rework.

However, employees can dismiss suggestions or submit before the check finishes. Continue the receipt reviews required by your company’s policy.

Test incorrect transaction dates in your system; SAP’s available description confirms checks for missing dates but does not clearly confirm date-mismatch detection.

Thanks & Regards

Hi @kkozak ,

Please refer to the article below for detailed information about the Pre-Submit Receipt Check feature.

Please note that this feature does not prevent report submission, as clarified in the support article below. For a better understanding of how the feature works, you can also watch the video available through the link provided at the end of the article.

Title

What Is the Pre-Submit Receipt Check Feature?

Details

The AI-assisted pre-submit receipt check brings AI-powered receipt validation to all expense users, automatically checking receipts during expense creation and before submission.

Resolution/Answer

The feature identifies common compliance issues—such as missing data, duplicates, and receipt-expense mismatches—and provides actionable suggestions to help users fix problems before they submit.

How It works

When an expense is saved (during creation or after an update), AI validation happens in the background, analyzing the receipt and expense against accuracy checks. This can take several minutes (nothing will be visibility shown in the UI while the check happens). If the validation passes, the user will see no changes. If a potential issue is identified, it is detailed at the relevant place on the expense, along with suggested actions to resolve it.

Note:
Suggestions are advisory only and non-blocking. Users can submit reports before the check finishes running and can dismiss exceptions. This feature is meant to reduce send backs by guiding users, not to replace the existing audit function.

Administrator Experience

Users with the Expense Configuration Administrator (Restricted) role, as well as the Expense Configuration Administrator and Client Expense Administrator roles can access the Pre-Submit Receipt Check settings page.

To opt in for early access to the Pre-Submit Receipt Check feature or to opt out of the feature before the release, follow the steps below:

  1. Navigate to Administration  > Expense  > Pre-Submit Receipt Check
  2. Click Settings (the gear icon in the upper-right corner of the screen)
  3. Toggle the following settings:
  • Pre-Submit Receipt Check : Opt in or opt out of the feature. Enabled by default.
  • Early Access Releases: Opt in or opt out of early access to the feature. Disabled by default

The following is a list of receipt checks done:

Receipt Check Name

Description

Amount present

Determines whether the receipt clearly shows a transaction amount. Currency is not required.

Date present

Determines whether the receipt clearly shows a transaction date, either full or partial. Taxi receipts are exempt from this check.

Proof of transaction

Determines whether the document is a valid receipt or invoice. Itineraries, quotes, and shopping carts are not valid.

Duplicate receipt

Determines whether the receipt has already been used on a previously submitted expense report by the same employee. This check does not compare receipts across different employees or against unsubmitted reports.

Incorrect amount

Determines whether the expense amount exceeds the receipt amount, and whether the currency matches the receipt. The system ignores differences below the equivalent of 1 USD.

Incorrect date

Determines whether the expense date matches the receipt date. Company card expenses allow up to 30 days difference. All other payment types require an exact match.

Incorrect expense type

Determines whether the selected expense type conflicts with the receipt contents. For example, a restaurant bill claimed under the Parking expense type.

Note: Receipts are identified as potential duplicates only when they were submitted during the period in which this feature was enabled.
