Invoice Capture

AP teams waste a lot of time sorting, scanning, and entering data from paper invoices. With Invoice Capture, your organization can eliminate tedious data entry, improve accuracy, and accelerate invoice turnaround times. 

  • Vendors send invoices to Concur Invoice either by email, mail or electronically  
  • Data like vendor name, invoice number, date, PO number, and more is captured using OCR   technology  
  • Captured invoice data is validated by SAP Concur  
  • The invoice is routed for approval and payment

Let’s talk about Non-Compliance

Over our years of auditing, we have uncovered many “fun” items that should never be in an expense report:

•Alcohol, Tobacco and Cannabis expenses 

•Wedding Dresses 

•Funerals 

•Handgun

•Unreturned rental car

•Gentlemen Clubs

 

These are just a few examples of what we found during our compliance checks.  We will cover how these were identified in future posts.

COVID-19 has affected us all, from cancelling major events, like SAP Concur Fusion, to reducing income sources for big and small companies alike.  At this time, more than ever, there is a greater need for all companies to ensure compliance to all of their policies. 

 

There are a few things that you can do right now to help your company:

  • Ensure you have a clear, concise and understandable Travel and Expense policy, if you don’t have one and would like a template to start with, please reply and we’ll make sure to send you one.
  • Include links to your policy inside Concur Expense to make it easy for your employees to find your policy.
  • Review your audit rules, make sure you are taking advantage of that functionality within Concur Expense. 
  • Make sure your company card feed is set up in Concur, it is a best practice to not allow your employees to delete company card transactions.
  • Review your audit process.  Here are some best practices that we have gathered from all our experience and our customer’s experiences:
    • Audit before manager approval
    • Who should you audit?  We like to say audit 100% at the start because you don’t know what you don’t know.  Once you have some data, you likely will be able to narrow it down to less than 100% (if your industry allows it).  Criteria we typically recommend is: 
      • Misc. Expense Type and other categories that should rarely be used
      • Any individual expense over a certain threshold
      • Any report over a certain threshold
      • Your Cowboys – those that push the envelope a bit or are frequent offenders
