Concur Audit - Workflow - Payment Processing

For those on Audit service with a random selection, I'm curious what workflow you use and how it's working for you.  This is for those who have workflow of manager approval first then Concur Audit (or your in-house processor depending on the random split).  After Audit approves a report, does it then go straight to payment?  Or after Audit, does your in-house processor take a quick look at the report, and in-house processor sends it to payment processing?  

 

I'm being told that most Audit clients will have their in-house processor be a 3rd and final eye (after the Audit step) and always have the in-house processor send each report to payment.  Your input here would be extremely helpful and appreciated!

Hi there, our work flow is expense user, Concur Audit, manager approval and then AP approval (expense processor). Our thought process is we want Concur Audit to catch errors such as wrong date, wrong expense type, wrong receipt/missing receipt, and then have our manager analyse/approve more if the expense is warranted/within budget, etc. Hope that heps.

Yes, we have our internal processor review before sending for payment.  Our workflow is Approving manager > Concur Audit > AP Processor.  We do this because too many managers rubber stamp approvals, so we are auditing them too.  We use CAS for a low percentage random sample - just enough to let them know someone is watching.  Aside from bad receipts, we get few audit failures because we have lots of audit rules in place to help the user get it done correctly.

Our workflow is set up as Expense User>Manager>CAS>Processor (internal expense team). The percentage of what CAS is reviewing is based on the market they are supporting. Higher volumns of reports means higher % for CAS to review. CAS does have the option to reject a report back to the expense user, but if the report needs to be rejected a 2nd time then it is sent to the processor queue for the internal team to review. Not all reports reviewed by CAS are then reviewed by the internal team, so yes a good number of their reports are sent straight to payment after review.

 

**We did think about the additional approval time ont he manager but if an associate is a repeat offender then the manager will see the pattern (hopefully).
