Adding hotel later to confirmed flight itinerary

Hello! I'm wondering if it's possible to book my flight itinerary now and then add a hotel reservation to the same trip later. I am waiting for a company credit card approval for the lodging portion of my trip but need to book my flight asap. I am completely new to Concur so thank you for your help!

@llarson you absolutely can. To do this, log into SAP Concur. Click Travel at the top of the screen. On the Travel home page, be sure to click the Upcoming trips tab. You will see your upcoming flight itinerary. Click on the link to open it. You'll see your outbound and return flight. Look for the bed icon. This will allow you to add a hotel. Let me know if you have any issues.

I do not see the bed icon that you talked about in your response. I booked my flight a few weeks ago, but skipped over hotel as my company was figuring out logistics. I want to book my hotel now, but I do not see any option to do so in my trip itinerary. I am new to Concur and appreciate any help!

@panduh when you did the initial booking for airfare, did you first create a travel request then from the approved travel request do the air booking?

Yes, that is what I did.

@panduh thank you. So, from what I researched, when you create a travel request first then book, you cannot add to that reservation because the initial travel request didn't include hotel. Basically, what the system sees is that you were approved to book air, but not hotel because it wasn't on the approved request. I believe you will need to do a separate booking for the hotel.

@KevinD Does that mean I will just need to book it personally and get reimbursed after?

@panduh Unfortunately, I cannot answer that as I don't know if your company policy allows that. Likely you may have to create a new Travel Request with hotel, get it submitted and approved then book your hotel. 

I would suggest asking your direct manager what your company policy is regarding this. I wouldn't want to tell you something that isn't what your company expects.

Hi Kevin, 

I recently had to do the same where i added a hotel after the flight confirmation. I did not received any confirmation from the hotel I booked and I also do not see any payment charged to my corporate card. I want to make sure that my hotel reservation is booked successfully.

@kwuconlog98 since it is a reservation, you likely wouldn't see a charge to your card. To ensure you are fully booked, I would suggest first calling your company's travel agency. They should be able to help confirm if the reservation was made. If for some reason they cannot, you can then try the hotel directly.
