Urgent Request Notifications for Processors and Approvers

I understand that Processors do not receive automated notifications in Concur for Purchase Requests, Invoices, or Expense Claims, due to the potential volume of emails this could generate.
However, it would be beneficial to have a mechanism whereby an approver or Processor can be alerted in scenarios where a Purchase Request requires urgent attention in Concur Invoice.
Currently, the only way a Processor becomes aware of such items is when they review their queue, which may introduce delays for time-sensitive requests.

Hi @Fitchke ,

Q - How will processor know which PR or Invoice would need urgent attention?

Workaround -

We need some identifier for such requests such as a custom field to capture (urgent attention - Yes/No) and if selected yes then send email notification to review the same.

With this same identifier we can also create separate approval / review queue in processor screen to filter such PR/Invoices.

If this answers your query, then please mark solution as accepted.

Thanks!

@Fitchke could you describe what qualifies as "Urgent"? I have an idea that could work, but need more details.

Thank you,
Kevin

Hi @Fitchke

Topic: Urgent Request Notifications for Processors and Approvers

Please check the below. Hope this helps.

-----

For SAP Concur Invoice and Purchase Requests, urgent notifications should ideally be handled through workflow escalation, exception monitoring, or an external notification mechanism, rather than generating emails for every transaction.

Recommended options:

  1. Workflow Notifications: Check whether the configured approval workflow supports reminders or escalation notifications for pending requests.
  2. Priority Identification: Use an available custom field or business process to identify urgent Purchase Requests.
  3. Queue Monitoring: Establish a dedicated process for monitoring high-priority requests and aging transactions.
  4. External Automation: Evaluate supported SAP Concur APIs or integration events to trigger targeted notifications through Microsoft Teams, email, or an enterprise workflow platform.
  5. Escalation Rules: Define thresholds for urgent requests and notify designated approvers or processors when action is overdue.

Important: Processor notifications and automated escalations depend on the available SAP Concur Invoice functionality, licensing, and configuration. Not all options are supported natively.

My recommendation: First evaluate existing workflow reminder capabilities.

If these cannot address urgent Purchase Requests, consider a controlled external notification process.

Bottom line: The objective is to implement exception-based notifications for urgent requests without overwhelming processors with routine emails.

Thanks & Regards
