Personal Car Mileage - Electric cars

All of our employees use their own vehicles for business mileage and are set up in Concur. We have employees who are looking at buying electric cars but the Concur mileage rates are only set up for Petrol or Diesel.

Does anyone have experience of setting up electric cars in Concur to reclaim mileage allowances?

If we were to use the petrol or diesel vehicle type in mileage rates Concur would claim VAT on the mileage. Although as we wouldn't have any "fuel" receipts maybe it wouldn't.

All help / input would be appreciated.

Thanks Kevin.

Look forward to hearing from you soon.

@marithompson1 Electric Car is available if you use the Company Car expense type. I don't know why we don't have it available for Personal Car, but you might be able to use Company Car as an option. I've pasted our Knowledge Base article about Electric Vehicles below.

Hybrid Electric cars are supported in Concur Standard Edition for the Company Car Mileage only.

To add the reimbursement rates, please follow these steps:
  1. Go to Administration > Expense Settings
  2. Under the Capturing Spend heading, select Mileage
  3. Click the Company Car Rates tab
  4. Click New (blue tab)
  5. Select Electric Car in the Vehicle type field
  6. Select the Effective Date and the Mileage Rates as you wish
Hybrid and Electric cars are not supported by the system for the Personal Car Mileage. However, in case the reimbursement rate is the same as some other default vehicle type, it can be registered as any other car.

Additional Information
In case you would like to have a different reimbursement rate for an Electric Personal Car, as a workaround we suggest using the option of mileage reimbursement by Policy Group, where a special reimbursement policy group would have to be created. Ex: Electric/Plug-in/Hybrid cars

Thank you,
Kevin

Hi Kevin

Thank you for your help.  We have indeed suggested our colleagues to select either Petrol or Diesel to get refund as the reimbursement rate is the same.
