Most horrible travel expense application ever!

Hello Concur community, Concur employees, and users!  My name is Chris, and I am a very, very frustrated Concur expense report user.  This concur expense software, is probably the worst app I've even worked with, in the past 5-10 years, if not forever.  How do you, Concur tool developers, figure out, that a person (such as myself, graduated from a top private university, with a BS and MS in engineering, and 25+ years in the aerospace industry) takes 3+ hours to fill out an expense report, worth approximately $1,000.  Your tool is NOT user friendly, it is NOT intuitive, and the silliness of details is astronomical (not unlike my frustration).  I could probably write a five-page white paper on how many silly steps and un-intuitive steps one must take, to complete an expense report.  Shame on you guys, at Concur, shame on you for maintaining such a dinosauric app in this modern world.  Anyone else feel the same way?  How my employer still does business with you will be one of the biggest mysteries of my career...

The time spent on expenses’ stupid details is unbelievable. I had an inexpensive prix fixe 16 euro meal that included drinks options and  — so I chose wine. Now I have to reimburse the one euro fifty for that and potentially make a video appointment to so so. If I had chosen juice or soda it would have been the same — it was a fixed-price meal with a drink of your choosing (pop, juice, and coffee were the other options on a set menu including the drink). I just can't with this moralistic bull.

 

One euro and fifty cents, or even 16 euros, the full cost of the meal, is not worth it and I just end up hating the entire thing and out of pocket so often it makes me feel it’s an actual abuse of time and resources & very much uninterested in any activity that makes such ridiculousness touch upon any part of my life. It is so inconsiderate about time that I want to bill SAP for the waste of my labour and patience. And it would be for more than 16 euros. Even for the single stupid expense report. Good grief.

I have the same experience. I constantly get my reports kicked back to me for minute details or errors on their end. This last report has been kicked back three times saying I don’t have a receipt attached to my airfare when there’s clearly a receipt there with all of the details they need. I write that in the comment section and ask them to re-review it, and then a robot answers me back the same exact answer. They did this the last two times saying there is no receipt.  All of my coworkers get so frustrated with this. I’ve probably now put five hours into the stupid report, trying to get approved and passed the robots that are auto auditing it. Now my American Express is past due, and I’m paying all of the fees waiting for this report to get approved. I have finally contacted our financial support team my company to see if they can actually talk to a real human there and see what the problem is. Again. I DREAD hitting “submit” on every report because I know it’s gonna be another month-long battle with Concur.

@Jwrst1212 I went in and looked at your last four expense reports. Only one of those I saw was ever returned and that was by someone at your company,, not the Concur Audit Service.

That's just it, though. We, the end-users suffer with using this application. And yes, sometimes it has to do with how it was (locally) programmed, but it doesn't make it any easier or better.

@TPM2 have you mentioned this to those at your company who administer the SAP Concur system? They might be able to take a look at how the site is configured and see if any changes can be made to better streamline the expense reporting process.

Hello Kevin,

I appreciate your response, however you must have missed my last report. Here is a screenshot of the Concur Audit Service on my last report. This was not my company rejection the expense, as I had to file a support ticket with my company to bypass Concur. Please note my receipts were attached and we could not figure out the problem. A quick, non-automated note from the auditor would have saved me and my company hours of time.

You probably have not yet realized this, but all these issues you are describing are coming from your company. Your company dictates the policies and how Concur interacts with expenses. Actually most of the problems in this thread seemed to be related to poor training or understanding of the policies.

I would highly suggest for everyone to contact their admin regarding these issues, because Concur doesn't have the ability to fix these problems for you.

Every company uses Concur in different ways.

Yes, we have done that. Many times. Doesn't mean we have to personally enjoy using CONCUR, though, because we don't.

Hello Jorge,

No, the biggest problem I am having are the automatic, Robot replies that will not tell you what is missing or wrong with the reported expense. You cannot fix something when you do not know what is wrong. Concur needs a real human on the platform to respond to those questions, not a bot with a vague, non-helpful response (and the irony…I just had to do the annoying picture challenge 3 times to verify I’M not a bot just to post on here)

My contempt for this app knows no bounds. My trip got extended, and now every single transaction falls outside the attached itinerary. How does one even extend this? I've altered the report header, but nothing changes. Must I obliterate the entire report and begin anew, forsaking the itinerary altogether? This is beyond aggravating.

So now I'm trying to salvage the work I have done by moving the expenses to a new report. IT WILL NOT LET ME MAKE A NEW ONE WITH OVERLAPPING DATES! Lord have mercy on whoever designed this terminator of an app.

I could not agtree more!!  Kicked back for the third time:

Issue 1:  Claims vendor is not on the receipt.  Screenshot and blew up the receipt it is most defintiely there for the human eye to read but perhaps not a robot.

Issue2:  Missing receipt for fuel.  Easy to forget when i never get a receipt for gas, filled out the affadavit.  System is still whining.

Cannot get a human response to anything.

Now my manager is cc'd when it fails and i spent more time putting explanation together for her.

IMO they owe my company about 8 hours of my time for how much this has interrupted my workflow for things that need to get done!!!!

I have been using concur for the first time during the past 3 weeks (!) and already need to join the choir. The UX is a thing I would probably fire the developers, team leads and UX designers for. But it seems to be a general SAP way of not-thinking as this page is a nasty UI-crime as well. Annoying Captcha for every(!) single post... moving web page artefacts (two different browsers and machines)... beginner's mistakes.

 

SAP is a complex set of products and I actually like its potential bottom line. But Concur again adds doubts. The thing is, that during the implementations of SAP modules end users (in this case employees) are rarely asked about, rather the clerks are considered to be "the user".

 

Just like in public sector, these people design their processes by unloading as much of their work as possible to the actual users. Their mentality can also be quite stubborn (close to autism) when it comes to following processes - no matter if they make sense or not.

 

That way, you will get a solution like Concur, that requires the users to fill out forms (again and again), wait for confirmations, follow hard-coded rules without possibility to circumvent and - worst thing - blocks the processes immediately if they do not comply.

 

My particular problem has become, that there is confusion about ONE of my projects and it blocks me from filing ANY report to get my reimbursements. It has now been weeks already and I am waiting for several thousands of Euros to be reimbursed. In addition, after a given period of time, the system would automatically submit it to payroll deducting payments with company CC from my personal salary.

 

So - again just like with public sector officials - the problem is puked onto the end users and they need to put a lot of effort to get things straight.

So far, I was not, even after putting more than one entire working day (!) into this stupid nightmare, bothering 6 different people and being pushed back by several (non-Concur-SAP) processes, that remove me from the project, which has meanwhile been closed.

 

Frankly, don't you guys have any skilled UX designers at SAP? If so, why don't you listen to them? Don't you do UAT (with actual users)? Who is responsible for this?

@StaticBool I'll try to address as many of the points as I can as I don't want you to think we only reply to questions and positive comments. I've replied inline in bold font so you can easily see my responses.

This community UI is not developed by SAP or SAP Concur, so we have to work within the confines of how this platform was developed. We'd love to hear your suggestions on possible improvements, but keep in mind they may not be possible on this platform. There is a reason for the reCaptcha. This is a public community site, which means it is accessible by anyone and therefore not impervious to inappropriate posts or posts unrelated to SAP Concur. So, our team had to make a decision on what was more important: requiring reCaptcha to deter these types of posts or not. We felt it more appropriate to try and keep the community as free as possible from unwanted posts. Also, reCaptcha isn't an uncommon practice on many sites. As for the moving webpage artifacts and and the two different browsers and machines, I am not sure what you referring to. Could you clarify please?

I see this as an issue for the company implementing SAP Concur. Do I feel employees (end users) should be consulted during the implementation phase? 100%. However, as you stated, companies do not do this. I am not sure if our sales or implementation teams specifically mention consulting end users, but I am sure they recommend having people test the system and I've even seen many companies use a Pilot group. We leave it up to the customer on how they prefer to carry out the testing of their system.

 

Just like in public sector, these people design their processes by unloading as much of their work as possible to the actual users. Most companies set up SAP Concur to ensure that company policies are being followed and that employees are submitting expenses according to local and federal guidelines. Companies from time to time get audited, so if they have a very lax system that doesn't require users to follow spend policies or provide proper receipts, it opens the company up to a great deal of liability. The SAP Concur system works based on how our customers tell it to work. It can be as lenient or stringent as a company makes it. As for processes and policies, SAP Concur has no say in those. They are all determined by each company. 

 

That way, you will get a solution like Concur, that requires the users to fill out forms (again and again), wait for confirmations, follow hard-coded rules without possibility to circumvent and - worst thing - blocks the processes immediately if they do not comply. I am not understanding why a system should allow for circumventing and not blocking people who aren't in compliance.  Any required fields/forms and confirmations are not from SAP Concur, they are what your company has selected and implemented.

Auto-approvals of reports can happen, which in turn can make the report end up in payroll, but only if you have submitted the expense report. The system cannot take an unsubmitted report and submit it for you. Submissions require human touch. Auto-approvals can happen in the system, but again this is something your company would have decided on and implemented. As for the payroll deductions, SAP Concur does not have that capability.

 

So - again just like with public sector officials - the problem is puked onto the end users and they need to put a lot of effort to get things straight.

I cannot speak to your internal project closing, but if you send me a private message here on Community with your company name, I can certainly provide you with the name of someone at your company you can speak to about making possible site changes to better streamline the system and how to reconcile the issue you have with the closed project.

We do pilot new features with our customers and get their feedback before they are released. We also have a Customer Engagement Initiative where we have customers sign up to be involved with the development of new features we plan to release. Something else to consider is that SAP Concur is used globally and with that requires developing a system that meets all of the different countries' requirements, policies and regulations.

@RoLGarcia do you have some specific examples that you can provide so I can share with our mobile team? I use the same mobile app and seem to not have any issues, so I'd like to hear what you are experiencing. 🙂

This is the perfect comment.  This system had me feeling so incompetent despite years of schooling, work experience and advanced degrees.  I have tried for months now to submit this single expense report.  No matter what I do it gets rejected!!!!  Horrible!  It feels like there does not exist a human being anywhere behind the scenes, yet they are constantly making me confirm that I am not a robot :=P

Any idea on how to handle my hotel bill when they charge $1000 at some point. So I have one receipt with 4 charges. There is a combine expenses button but it never works. So I have to split the room charge across multiple charges. It takes FOREVER to fill out this stupid thing.
