Accepted supporting documentation for expenses

Hi, 

I would like to ask about best practices regarding approving supporting documentation for expenses paid by Paypal with online payment confirmation e.x subscription services?

How do you deal with such transactions? Do you approve such documentation despite it is not standard receipt or invoice? 

Do you use some vendor's list for which such documentation is approved ?

Additionally, what are the best practices for AI in such cases? if there is a screen with payment confirmation (not invoice or receipt) AI will approve it or reject it?

We still require receipts for monthly subscriptions such as Amazon Prime as users usually get an emailed receipt. If they don't, then we require an affidavit to be filled out.
