Reporting using custom fields

Hello,

I would like to know how I can create a report using the two custom fields we have created when an employee create an expense report.

@StephanieVSM do you have Cognos 11 (see screenshot if you are not sure). Search for the word "Custom" as shown on same screenshot.

The search can take a bit to load, so wait for it! When I searched, the first group, shown above, that came up were all from the Report Header (we also have custom fields in the header). I loaded Custom 1 - Code and Custom 1 - Name on the report and verified they were from the report header. Both fields returned the employee's input, so that tells me whoever configured this did not "Name" the field, but used the user input in both.

The custom fields on your Header should typically start with the first field. 

I was able to successfully run a report witht the users input.

Yes I do have Cognos 11.

@StephanieVSM There are several custom fields that we provide for our customers, so you'll just need to know which of these fields were used for the two fields show in your screenshot. 

 

There are a couple of different ways to do this:

1. If you have access to Forms and Fields, you can check the Report Header form to see which of the Custom fields were used. Once you find which fields were used, you can follow what @dlamont mentioned when in Cognos. Most people do not have access to Forms and Fields, but SAP Concur Support could help with telling you which fields to use in Reporting.

2. Use the configuration report. You can find this in the Expense Admin options. When you open the report, you will see links at the top of the page. Click Report Header Forms. Once there in the report, you can look at the Columns labeled Field Name and Form Field Label. It will show the name of the fields as seen by users and which of the Custom field were used. 

 

There is a third option, which is to simply go into Cognos, create a new report, go into the Expense>Report Header>Additional Report Details folder. Scroll down a bit until you see the data items that begin with the word Custom. Select several of these items and add them to your report. Run the report to see what data is displayed. You would then see which of the Custom field data items will show the Departure and Return dates. This would be the option to use if the first two of my suggestions don't work for some reason. 🙂
