Payment Type Description

Hello,

 

The current Cash description is causing some confusion among our employees, as some of them use their personal credit cards but would still prefer to use the system exchange rate. Our intention is to advise employees to select Cash if they prefer to use the system exchange rate, and Personal Card if they prefer to use the bank exchange rate. Is there a way to amend the description displayed for these payment types to better reflect this distinction?

@Saladchew I thought you could simply update the description field in the Payment Types screen, but when I looked at that in your site for this payment type, it didn't match what is in your screenshot. I'm asking a colleague about this. However, based on your post, I have a concern about what you wrote. 

 

If users use their personal credit card, there shouldn't be any need to use the system exchange rate as their bank will convert the amount for them and then they can just enter the amount that shows on their statement. Using a personal card then using the system exchange rate runs the risk of users not getting reimbursed the correct amount. Now, it might only be off by a few cents, but then the employee is left possibly covering the difference. 

 

The system exchange rate is intended to be used if a user actually pays for something in cash while traveling to a different country. I cannot think of why a user would want to use a different exchange rate than what their bank would use for their personal card. All users should do is take the amount from their card statement and enter it into the Amount field. No need to do any conversion in the system as the conversion has already been done on their card statement. 

 

Is the issue that users have receipts in foreign amounts and they want to enter that into their expense report?

@Saladchew me again. It appears the description is hard coded as I just did a test in my training site and it did not update.
