Is it possible to change the email notification subject

When users get email with status -"Expense Claim Status Change" it does clearly explain what status has changed unless look at the email content.  Is it possible to update the message to say some like 'Expense Claim has been approved' or 'Expense Claim has been sent back' etc?

Technically, it is feasible to make the email subject dynamic based on the report status. However, during testing, I observed that it is only partially working as expected.

 

Notification - Expense Report Status Change 

 

Scenario 1 - When report status changed to Approved

Test Result - Working fine. Status is reflecting in notification subject line.

Scenario 2 - When report status changed to Sent Back to Employee

Test Result - Not working. Status is not reflecting in notification subject line.

Note I would recommend not updating the email notification subject, as it may be misleading for employees—especially in workflows with multiple approval steps. If the report is approved at each level, the subject line would indicate that the report is approved every time. In such cases, employees would need to read the email content carefully to determine whether the report is fully approved or only partially approved by one of the approvers.

Hi @Jatinderkaur ,

 

Currently in SAP Concur, the standard email notification subject is Expense Claim Status Change and it is system-generated and does not dynamically display the specific status (e.g., Approved, Sent Back, Recalled) in the subject line. The detailed status is only reflected within the email body.

 

As of now, there is no standard configuration option to modify the subject line to show messages such as Expense Claim has been Approved or Expense Claim has been Sent Back. These templates are controlled by Concur’s standard notification framework and are not fully customizable at the subject level.

 

If required, you can raise an enhancement request with SAP Concur Support to request dynamic subject line functionality for status-based notifications.
