Intelligence Reporting - Team Content - Folder Visibility

We all have the following folders when we click on Team Content:

- Dashboard Metrics

- Intelligence - Standard Reports

- Company Specific Folder (Ours)

- Concur Data Warehouse

Is there a way to put the reports that we as Concur Expense Administrators have created in our Company Specific Folder in a place where the BI Managers do not see them. The reports that are relative to expense reports BI Manager's approve is fine but there are other reports that relate to back-office functions that they don't need to see since they cannot run them anyway? Just wondering what options we have and what others are doing?

@bcdowling Team Content>Company Specific folder is your only place for storing customer reports. Unfortunately anyone with Cognos access can see them. I don't know of a way to "hide" them from certain people. I will ask my reporting contacts if there is such an option.

We had a similar requirement for a client I’m currently supporting, and we received the following response from Analytics Support.

Additionally, since the client has opted for the Consultative Intelligence Service, we discussed this during a call with our dedicated reporting consultant, who confirmed the same.

Analytics Support - Case Response

"On Cognos, we are unable to restrict access to a report by user, we only can do that by license, which affect all users with that specific license.

I can see that your company has implemented a feature hierarchy based on the employee groups. That means an employee will only able to see the data of the specific group they have assigned in their reporting role. So, for example, employee A has reporting role for Global group, will be able to see all company data. But if, instead, employee B has the group 'United States' they only be able to see the data for this group. In this scenario, if a reporting is created to filter only information for Brazil employee group, employee B won't be able to see data in the report. The employee will run the report, but will receive a message 'No data available'.

My suggestion is to use the reporting groups to restrict access to the data, instead restrict the folder/reporting permissions because it will affect all employees with the same role. Besides that, only the user that create the report can manage the permissions."

@PoojaKumatkar this is accurate, but I think the original poster was looking for a way to make a report not visible within the folder for certain users, which is not possible. 🙂

Yes, hiding a folder is technically not feasible.
