France e-invoicing: Handling of invoices that cannot be assigned to a Concur employee

Hi all,
I haven't found an answer to the (possible) issue below.

We are currently preparing the integration between SAP Document and Reporting Compliance, cloud edition and SAP Concur Expense for receiving French employee-related e-invoices.

According to the documentation, SAP DRC routes the incoming invoice to Concur, while Concur identifies the employee based on the Employee ID, employee email address, or employee name included in the invoice. [community.sap.com], [help.sap.com]

Could someone clarify what happens if Concur cannot identify a unique, active employee from this information?

In particular, we would like to understand:

  • Does Concur reject the invoice and return an error to SAP DRC?
  • Would this error be visible in the DRC Monitor Documents application?
  • Is the invoice retained in an administrator-accessible queue or error log in Concur?
  • Can an administrator manually assign the invoice to an employee?
  • Can the invoice be reprocessed after the employee master data or invoice reference has been corrected?
  • Is there a notification mechanism for such assignment failures?

We have reviewed the following sources:

  • France E-Invoicing: SAP Concur Expense with SAP Document and Reporting Compliance, cloud edition, SAP Community [community.sap.com]
  • France e-invoicing with SAP Document and Reporting Compliance, Cloud Edition, SAP Concur Release Notes / SAP Help Portal [help.sap.com]
  • Viewing Documents, SAP DRC Cloud Edition documentation, including the DRC Monitor Documents functionality [help.sap.com]
  • Managing Routing Rules, SAP DRC Cloud Edition documentation [help.sap.com]

These sources explain the successful processing flow, but we could not find a documented description of the exception handling when no employee can be

identified.

All the best
Malte

Hi

Please check the below. Hope it helps.

-----

The key distinction is between successful delivery of an e-invoice from SAP DRC from successful employee assignment of that invoice to an employee in SAP Concur Expense. These are separate processing steps.

If Concur cannot identify a unique, active employee, the invoice cannot be reliably assigned.

However, the published integration overview does not establish whether this results in an interface rejection,

an unassigned invoice, or a recoverable processing exception.

The following behaviors should therefore be confirmed rather than assumed:

           Scenario            What needs confirmation

No employee match

Whether Concur rejects or retains the invoice

Duplicate employee match

Whether an ambiguity error is generated

DRC monitoring

Whether Concur assignment failures appear in Monitor Documents

Administrator access

Whether an exception queue or manual reassignment function exists

Reprocessing

Whether corrected invoices can be retried without duplication

Notifications

Whether administrators receive automatic failure alerts

Thanks & Regards
