Concur Budget for Approvers

We are working with Concur on this topic but I am lost in translation.  We are wanting to set up Concur Budget to allow approvers to have a set budget for all people that they are responsible for approving.  In our case, this is typically the manager of the team and typically has BI Manager role.  How would we configure Concur Budget to allow these approvers to have there own Team Budget?  I ask because I am currently being directed to create a new custom field that contains the BI Manager for each person and base the budget on this.  There has to be another way to do something of this nature.

Your query is bit confusing for me to understand. 

 

Could you please clarify whether the budget should be tracked:

  1. for all employees in Concur OR
  2. only for the team members who report to the approver?

@MICHAELPARSONS hmmm...the BI Manager field is used for Cognos reporting purposes and from my limited knowledge about Budget, I don't recall any mention of BI Manager. 

 

Are you being directed to do this by a team here at SAP Concur or someone else?

Your understanding is correct. The BI Manager is primarily used for reporting purposes, and there are no specific settings in the Budget module that directly utilize the BI Manager field.

However, in most implementations, the BI Manager is configured to be the same person as the Default/Expense Approver. As a result, @MICHAELPARSONS 's budget requirement would typically be addressed indirectly through the existing budget and approval structure. Therefore, there is generally no need to account for the BI Manager separately from a budget configuration perspective.

@PoojaKumatkar  and @KevinD - I think I understand what you are saying and I apologize for the confusing note.  So by having a manager create a team budget it will automatically create the budget to roll up to the manager (approver).  If this is how we can get the approvers to have a budget, is there a way to create this with the excel upload or does the approver have to create the Team Budget on their own?

I performed some testing in our sandbox environment and, based on the results, I can confirm that importing "Team Budget" is not technically feasible.

 

I attempted the import process multiple times; however, each attempt resulted in the following error message:

"Importing Team Budgets is not supported."

 

Currently you have only below two options to create Team Budget:

Option 1: With Budget Administrator role, create Team Budget from Budget Configuration section

Option 2: Budget Owner can add Team Budget from their Budget Dashboard section

 

Please note that both of the options suggested above must be performed manually, as there is currently no automated method available for either process.

@MICHAELPARSONS from what I have found you can create Budget Items via an import. A budget item is made up of: annual budget including fiscal year, budget owner, budget name and budget display name. 

 

So, I understand this to mean you can set up budget amounts and assign budget owners using an import. 

 

Now, I need to qualify my response with the fact that Budget is not my area of expertise. What I haven't found yet, is if it is possible to import a Team Budget. I've asked about this internally and will let you know what I find. @PoojaKumatkar is very knowledgeable, so she's probably correct in stating a Team Budget cannot be imported, but I thought I would ask internally anyway. 🙂
