Approver to view expense reports for direct reports only

Hello,

 

Can an approver be given the view only permission for his direct reports' only? We gave an approver the expense processor (audit) permission so he could view his employees' expense reports, but we do not want him to be able to view all users' expense reports.

The Expense Processor function, Audit, regular or manager, get you access to all reports. You can narrow it down by expense group, but not to a specific approver's direct reports. Are you trying to help the manager see past reports approved or reports currently in flight? They can already see past reports from their approval queue using the View option.

If it's something currently in flight or not yet submitted, I go down the delegate access option, but don't provide the option to submit. Most, if not nearly all my managers who do want it, just want to see or help their team so they can view the report directly versus screenshots, screen sharing or the dreaded retelling from the user perspective and lastly to quickly see what CC charges are sitting there.

@sdeieso view only for submitted reports can only happen with the Expense Processor (Audit) role. I'm curious why you would want an approver to be view only for their direct reports. Shouldn't the approver actually be approving those reports? I'm a little confused. 🙂

Hi Kevin,

 

This particular approver is an SVP and only views/approves expense reports over a certain amount.  At month or quarter end, he may want to view certain expense reports if he is asked questions about his employees' spending.  We did give him expense processor (audit) role to be able to view his employees' reports if asked about them.  But we would rather him only have access to view his employees' reports.
