Approval Status Prompt not working on Report

I'm building a report and trying to add the "Approval Status" as a prompt.  However, when I run the report WITHOUT selecting an Approval Status to filter on it will work... and when I DO chose an option it returns no data, even though I know it should be.  Any idea what I'm doing wrong?  I'd also (if possible), like to have the prompts only show the status' we actively use.

@mengelken hello there. You cannot filter the prompt to only show statuses you use. As for the other issue with not data displaying. there might be a data item in the report that doesn't, as we say, "play nice" with the status you choose. Could you take a screenshot of the columns of data you have on your report for me please? I'd like to see them. Or you could just tell me the name of the report and have a copy of it in your My Content area so I can look at it. 🙂

Hi Kevin, I copied the report to My Content called "All Transactions Report".  I also tried running  a simple query from the various levels of queries I had and it would never return data when I would select (for example) Not Submitted.

Hi Pooja,
When I try your method the parameters page comes up blank, even if I select the Approval Status field and click the option to "Build the prompt page".Empty Prompt Page.jpg

Hi @mengelken ,

 

You are not following the right way. You need to click on 'approval status' column field, make sure header is selected and then click on 3 dots and select build promt page. Then it will create prompt page for approval status and also it will show you the title above prompt drop down. Refer my screenshot. 

 

Also, plz note that in prompt design page it will just show design. You need to run the report and then select the approval status and click finish to get report details.

Sorry, but I did follow your instructions, here again, clicking Approval Status, then the dots and build Prompt Page

Hi @mengelken ,

 

Can you please check your private msg and respond there.

 

When you are selecting 'approval status' column it will be highlighted with 'blue line' as shown below in 1st screenshot. With that when you click on build prompt page it will automatically generate prompt page with approval status title (refer 2nd screenshot). 

 

When you are selecting approval status header is it getting selected or highlighted with blue line? If it's not, then that could be the reason your prompt page is not getting generated properly. 

 

Can you please try it once.

Hi @mengelken ,

 

I have tried building similar report in our sandbox and it is working for me properly. 

 

Can you please try below steps and let me know if it works for you as expected.

 

1. Create report and add columns/data objects as per your requirement including "Approval Status" column.

2. Now click on "Approval Status" header field as shown below, click on 3 dots and select "Build Prompt Page" option. It will automatically generate prompt page for you as shown below in 2nd screenshot.

3. Now save the report and Click on Run.

4. When you run, select required "approval status" from the drop down list and click finish.

Note - If you want to select only 1 approval status then select the one and click finish. If you want to select multiple approval status, then select multiple statuses by pressing "Ctrl" key on keyboard and click finish.  

5. This will give you report details as per the approval status selected in prompt page.

Regarding your statement given in your query description "when I run the report WITHOUT selecting an Approval Status to filter on it will work... and when I DO choose an option it returns no data,".

With the above given solution, this issue will not happen as without selecting "approval status", Finish button on bottom will not get enabled. You have to select something and click finish then only you will get result on next page. 

 

Please try this and let me know if it works for you as per your expectations.
