Hotel Double Charge on Concur

I have the same charge for a hotel stay showing up twice in Concur. I have verified with the hotel that my card was only charged once. One of the charges is already in an approved report and one is still showing as an expense. What is the best way to handle this?

@JCGE first thing I would do, if you haven't already, is check your statement to make sure there aren't two charges. If there are two charges, then call the card issuer to dispute the second charge. They should eventually credit you. Once this happens, look for a credit card charge with a negative amount to come into SAP Concur. Add both the incorrect charge and the credit to a report. They will cancel each other out. 

 

Now, if there is not a second charge on your statement, then you could add the charge to a report and just mark it as personal. That way you won't receive any reimbursement for it. This will get it out of your Available Expenses. You could also reach out to your Finance or Accounting Department (whichever is in charge of assigning corporate cards) and ask them to hide the transaction. 

 

Lastly, and this depends on if your company allows it or not, you could try logging into SAP Concur. Click Expense at the top of the screen. On the Manage Expenses screen, scroll down to the Available Expenses section. You should see the extra hotel charge there. Click the little checkbox to the left. See if this will turn on/activate the Delete button. If so, you should be able to delete it. Again, your company has to have allowed card deletions for this to work.
