Not design with user experience in mind

Where to start?

I think the concur expense web pages have a very unfriendly user interface. Not conform any major modern design standards like Googles material design, Microsoft’s Metro or Apple’s Human Interface Guidelines

Concur is clearly developed by technicians, PLEASE GET HELP FROM USER EXPERIENCE EXPERT!!!:

  • Far too many buttons, tabs, e.g.: Far to may (6!!!!) tool bars on the expense report page:
    • Sap Concur, expense, App center..
    • Manage expenses, view transitions
    • Delete report, submit report
    • + new expense, + Quick expense ….
    • Move, delete, copy…
    • Available receipts
  • Many inconsistent looking menus, buttons and links, e.g.: Far to may button styles (on the expense report page I can find 8!!!).
  • Inconsistent location of buttons. E.g.: save new expense is at bottom, submit report is at top, while you expect a workflow to be from top to bottom.
  • No focus on the task at hand. e.g.: when working on the report it also shows an expense and vise versa. The collapse\expense button << does not show as a button and is unclear. The user should only see what he is working on to make the task at hand more clear.
  • Is it optimized for different screen sizes and devises (e.g. mouse vs touch)?

Expense report:

  • Should only be a list of expense items with 1 menu or toolbar to add or modify expenses (no tab for expenses to choose from)
  • The meaning of the icons underneath the date are unclear until hovered over. This is not intuitive at all!. They should be replaced:
    • Warnings and errors should show as text show underneath the expense item (not in a generic separate list above!)
    • The receipt icon should be a column with a show button if there is a receipt.
    • The expense icon should be a column with text (e.g. personal expense)

Expense form:

When adding an expense it should only show an expense form (not with a list of other expenses):

  • All fields should go top to bottom. There are many scientific studies that show that fields next to each other take longer to process by the mind.
  • The fields should be grouped (e.g. generic, costs, receipt)
  • Fields should not stay red when they contain correct information (immediately not after pressing the save button). This is very bad design: You are making the user think dumb! You are providing them with false information!!!
  • Fields MUST show an error message to indicate what is wrong with the value (immediately not after pressing the save button)
  • Receipt (image/pdf) should be a field, not a button on the bottom or a tab on the top. Many of us did not notice the receipt button or the receipt image tab that is added when a receipt is added.
  • Receipt cost allocation should be a field, not a button on the bottom. The “Charges for other department” check box makes no sense at all if the cost allocation would be a field.

Attach Recipe dialog:

  • The browse button is very unclear. It is also unclear that the user needs to push the attach button after a file has been selected. A very poor workflow!!!
  • It is also very unclear how to add and remove available receipts in this dialog. One would expect buttons to manage available receipts or not show a available receipts section at all in this dialog if no receipts are available.
  • Its better to make the recipe a recipe an field in the expense form (showing a smaal picture of the contents of the document). It should have options such as
    • zoom (open full page with magnifying and rotation options)
    • remove
    • upload from computer (or mobile when the web server detects this)
    • Select from uploaded receipts

SLOW!

  • Selecting a project number or department is FAR too slow.

What do you think about this?

@worried Hello there. I want to start off by saying my role isn't one where I can really comment on all of your points, but we do take feedback seriously. I think if you contact your company's internal SAP Concur site administrator, they could get your feedback provided to SAP Concur. You may or may not (depending on when you see it) be happy to know that we do have what we call the NextGen User Interface. It is a redesign of our Expense Reporting tool. It has been out for quite some time now, but not all of our customers have made the switch. Maybe you'll find it is more intuitive.

If you would like to see the NextGen UI, visit our training toolkit where you can see our resources that show this new UI. Here is the link: https://www.concurtraining.com/toolkit/en/expense/end-user/ui02

Give these resources a look.

Thank you,
Kevin Dorsey
